Session Cancellation and Attendance Policy

 

Sharman Music Academy (SMA) is dedicated to providing consistent, high-quality music education. To ensure that both our students and instructors can make the most of their scheduled time together, we have established the following guidelines regarding attendance, cancellations, and rescheduling.

By enrolling in classes at SMA, you agree to the terms outlined below.

1. Punctuality and Attendance

·        Early Arrival: We request all students to join their session at least 5 minutes before the scheduled start time. This allows time to check your instrument, audio, and video settings before the class begins.

·        Tardiness: If a student is late, the instructor will wait for up to 15 minutes. If the student has not joined by then, the class will be considered a "No-Show" (see Section 3). The lesson will still end at the originally scheduled time to respect the next student's slot.

2. Student Cancellations & Rescheduling

We understand that schedules can change. However, out of respect for our instructors' time, we enforce the following cancellation rules:

·        Advance Notice Requirement: Students must inform their instructor or the SMA support team at least 3 hours prior to the scheduled class time if they are unable to attend. Classes cancelled with proper advance notice can be rescheduled based on instructor availability.

·        Last-Minute Cancellations: No last-minute cancellations will be entertained. If a cancellation is made less than 3 hours before the session, the student will lose the credit for that session, and no make-up class or refund will be provided.

·        Consecutive Cancellations: A maximum of 2 cancellations in a row is allowed. If a student cancels 3 or more consecutive sessions, SMA reserves the right to release their recurring time slot to another student, and a re-evaluation of their schedule may be required.

3. No-Shows

·        A "No-Show" occurs when a student fails to attend a scheduled session without any prior intimation.

·        All no-shows will be marked as "Absent," and the student will lose the credit for that session. No refunds or make-up credits will be issued for missed classes.

4. Instructor Cancellations

·        In the rare event that an SMA instructor needs to cancel a session due to illness, emergency, or unforeseen circumstances, the student will be notified as soon as possible.

·        The cancelled session will not be deducted from the student's credits, and a free make-up class will be scheduled at a mutually convenient time.

5. Technical Issues (For Online Sessions)

·        Student Technical Issues: It is the student's responsibility to ensure a stable internet connection and functioning equipment. If a class cannot proceed due to the student's technical difficulties, the session will be counted as a regular class and credits will be deducted.

·        Instructor/Platform Technical Issues: If a class is disrupted or cannot take place due to technical issues on the instructor's end or a platform outage, the lost time will be compensated, or a replacement class will be provided at no extra cost.

6. Medical and Family Emergencies

We understand that genuine emergencies happen. In the event of a sudden, severe medical or family emergency, please reach out to the SMA support team as soon as it is safe to do so. Exceptions to the 3-hour rule may be granted on a strict case-by-case basis at the discretion of the academy's management.
